What You’ll Be Doing
We’re looking for a Financial Administrator who will act as the backbone of our financial operations. You’ll be responsible for accurate bookkeeping, reconciliations, invoicing, member payments, and financial reporting, ensuring everything is timely, compliant, and reliable.
You’ll work closely with the Administration Manager and wider team to support day-to-day operations, improve processes, and maintain financial clarity across the business.
You will:
Perform daily bookkeeping, including accurate data entry and reconciliations in Xero
Manage accounts payable and receivable, including invoicing, incoming payments, and supplier relationships
Monitor and respond to finance-related queries via shared inboxes in a timely and professional manner
Maintain and update payment methods to reduce failed or delayed transactions
Verify sales invoices for accuracy prior to processing
Support commission checks, audits, and reporting as required
Identify risks, trends, or discrepancies in financial data and escalate where needed
Support internal financial transactions such as payroll processing, reimbursements, leave balances, and expense allocations
Manage external account transactions including member billing, payment follow-ups, sponsorships, holds, and adjustments
Assist with onboarding and offboarding from a financial systems perspective
Provide coverage during peak periods or operational changes to ensure continuity
Assist with ad hoc finance projects and process improvements
Participate in regular team meetings and contribute to a culture of accountability and transparency

Financial records are always accurate, reconciled, and audit-ready
Invoices, commissions, and reports are delivered without errors
Finance-related queries are resolved promptly and professionally
Reporting is timely and supports confident decision-making
Issues are identified early and addressed before they become problems
Who You Are

You’re reliable, professional, and comfortable working independently while collaborating with a wider team. You can’t take yourself too seriously, but you take your work seriously.
You bring:
2 to 3 years of experience in bookkeeping, accounts administration, or financial operations
Strong proficiency in Xero and confidence working across digital platforms
Excellent attention to detail and a structured approach to work
Clear communication skills and the ability to work across teams
Discretion and professionalism when handling sensitive financial information
